Discord Bot Terms

These terms cover the Formation Discord bot — the part of Formation that lives inside a Discord server and responds to slash commands. They add to, and don’t replace, our End User Agreement and Privacy Policy. What the bot collects is described in the Discord Bot Privacy Policy. By adding the bot to a server or using its commands, you agree to these terms.

When an organization connects the bot to its Discord server, it enables a small set of slash commands:

• /link connects your Discord account to your Formation account.
• /connect connects the server to a Formation organization (server administrators only).
• /available adds a weekly availability rule to your Formation account.
• /roster, /schedule, and /bench look up team information already stored in Formation.
• /whoami shows your own linked account.

Depending on how an organization configures it, the bot may also post match and practice reminders with RSVP buttons in a chosen channel and update that message to show who has responded, send you a direct-message reminder, and add or remove a Discord role that mirrors your Formation team roster. These are opt-in and are set up by the organization or by you individually.

Use the bot for its intended purpose — coordinating an esports organization’s schedule and roster. Don’t try to abuse, overload, reverse-engineer, or interfere with it, and don’t use it in a way that violates Discord’s Terms of Service or Community Guidelines, which continue to apply in full. Server administrators who add the bot are responsible for having the authority to do so and for telling their members what it does.

The bot is provided “as is,” without warranty of any kind. It is built and operated by a small team, not a dedicated platform provider: reminders may occasionally not send, commands may occasionally fail, and uptime isn’t guaranteed. Don’t rely on it as the sole channel for anything time-critical.

To the fullest extent permitted by law, the operator of Formation isn’t liable for indirect, incidental, or consequential damages arising from use of the bot, including a missed reminder or an incorrectly synced role, and the limits in the End User Agreement apply to the bot as well.

An organization can disconnect the bot at any time by removing it from the server or disconnecting it in Formation’s settings. An individual can disconnect their own linked account at any time from their Formation account page. We may suspend the bot or remove it from a server that violates these terms.

The bot is not directed at children. You must meet Discord’s minimum age to use Discord at all, and Formation itself requires you to be at least 13, with a parent’s or guardian’s permission if you are under 18.

We may update this Discord Bot Terms at any time. When we do, we will notify you — by email to the address on your account and/or with a notice inside Formation — and we will change the effective date at the top of this page. For material changes we aim to give at least 14 days’ notice before they take effect.

If you keep using Formation after a change takes effect, you accept the updated Discord Bot Terms. If you don’t agree with a change, stop using Formation and contact us, and we’ll delete your data. Which version of our documents you accepted, and when, is recorded with your account.
